Unlike hiring a PA system or a catering van, the cost of temporary internet hire can vary by a factor of ten depending on your requirements. A single-day corporate conference for 100 delegates in a well-connected city-centre venue costs very different money to a three-day outdoor music festival for 5,000 people in a Somerset field with no mobile signal.

What Drives the Cost of Event WiFi?
There are five main variables that determine what you'll pay.
Backhaul type. How your internet gets to the venue is the single biggest cost driver. A bonded 4G/5G system using multiple SIM cards from different networks is cost-effective and works almost anywhere. A Starlink satellite terminal adds monthly hardware and data costs but works in places with no mobile coverage at all. A point-to-point microwave link to the nearest fibre exchange is highly reliable but requires survey time and infrastructure. Number of concurrent users. Event WiFi is priced on bandwidth and access point density, not headcount. Designing for 500 concurrent users takes more infrastructure than designing for 100 — even if 3,000 people attend and most use mobile data instead.
Event duration. Most suppliers charge by the day or by the week, with discounts for longer hires. A single-day deployment is relatively expensive per day because the setup and de-rig costs are fixed regardless of how long the kit runs.
Location. A remote rural site with no mobile signal, difficult terrain, or no road access requires more engineering effort and may need satellite backhaul or a point-to-point link — both of which add cost. An urban conference centre is usually simpler.
Managed service vs self-install. A fully managed service (design, deployment, monitoring, on-call support) costs more than self-install hire kit — but for professional events the engineering overhead is usually worth it. A network failure at a 2,000-person conference costs far more than the price premium of a managed service.
Typical Price Ranges
These are ballpark ranges based on UK and European market rates in 2026. They include kit, deployment, and on-site support unless stated.
Small event (up to 100 concurrent users, 1 day, indoor venue with existing backhaul): £500 – £1,500. This covers a managed wireless overlay on an existing leased line: a handful of enterprise access points, a controller, QoS configuration, and monitoring.
Medium event (100–500 concurrent users, 1–3 days, bonded 4G/5G backhaul): £1,500 – £5,000. Includes bonded cellular backhaul (typically 4–8 SIM cards across multiple networks), enterprise access points, full network management, and on-call support.

Infrastructure at this scale involves substantial engineering time, large antenna systems, multiple Starlink terminals, on-site technical staff throughout the event, and extensive pre-event survey work.
What You Should Always Get Included
Whether you're spending £500 or £50,000, a professional event WiFi provider should include the following as standard: pre-event network design and capacity planning, RF planning (for outdoor or multi-room deployments), on-site setup and configuration by an engineer, real-time network monitoring during the event, 24/7 on-call technical support, and full de-rig and collection after the event.
Be wary of providers who quote low but charge separately for monitoring, support call-outs, or de-rig. The total cost is what matters.
How to Get an Accurate Quote
To get a meaningful quote from any event WiFi provider, you should be ready to share: your venue (or site) name and postcode, your expected peak concurrent user count, the nature of your event (conference, festival, broadcast, etc.), your event dates and setup window, any specific requirements (vendor POS systems, live streaming, IPTV, captive portal), and whether you need any specialist connectivity such as a video uplink or satellite backhaul.
