Who is responsible for your information?

What information do we collect?

When you send an enquiry, we may collect:

your name and email address;
the event, venue, dates and location you tell us about;
expected users, devices and connectivity requirements;
venue pricing or quote information you choose to provide; and
anything else you include in your message.

Please do not include sensitive personal information unless it is necessary for us to handle your enquiry.

How do we use enquiry information?

We use it to:

review and respond to your enquiry;
assess whether a SmartWifi service may be suitable;
prepare a quote or discuss availability when requested;
provide and support a service you decide to order; and
keep appropriate business, legal and accounting records.

We handle enquiries because it is necessary to respond to your request and because we have a legitimate interest in communicating with prospective and existing customers. Where consent is required, we will ask for it separately. We do not use an enquiry form submission to add you to a marketing list.

Who receives the information?

Website form submissions are processed by Formspree, which delivers the enquiry to SmartWifi's Google Workspace email account on our behalf. We do not transfer website enquiries into a customer relationship management (CRM) system or share them with other third parties as part of our normal enquiry process.

We do not sell enquiry information. We may disclose information if the law requires us to do so. Formspree and Google may process information outside the United Kingdom using appropriate protections under applicable data-protection law.

Website analytics

When a form is submitted successfully, our website analytics may record a submission-success event and the page path. Names, email addresses, messages and other form contents are not included in that analytics event.

How long do we keep it?

If an enquiry does not lead to work, we normally delete it within seven days. Where you ask us to provide a service, we keep the information for as long as needed to provide and support that service, maintain necessary business records, and meet legal or accounting obligations. We delete or securely dispose of it when it is no longer required.

How do we protect it?

We use reasonable organisational and technical measures to protect personal information. No internet transmission or storage system can be guaranteed to be completely secure.

Your data-protection rights

Depending on the circumstances, you may have rights to request access to your information, ask us to correct or delete it, restrict its use, or object to how it is used. Contact us at info@smartwifi.co.uk to make a request.
